Everything you need to know about using Labstronaut
The Search Page
The search page is the public-facing part of Labstronaut — it's what users see when they visit the website. Think of it like a search engine, but specifically for laboratory tests. When a user searches for a test, Labstronaut shows them which labs offer it, along with all the information they need to make a referral.

You can search by the full test name, an abbreviation, or a synonym — for example, searching "HbA1c" will find the same results as searching "Glycated Haemoglobin". This is because Labstronaut links tests by their synonyms behind the scenes. Read more about how this works →

The top shows the test name and which lab is offering it. If the same test is available at multiple labs, you'll see a separate card for each one.

Shows which NHS region the lab belongs to. If you're logged in, labs in your region appear first — this is how Labstronaut ranks results by proximity.

UKAS Accredited badge
UKAS accreditation means the lab has been independently assessed against international standards. A green tick means this specific test is within their scope of accreditation.

Sample type, bottle, volume, reference ranges, storage requirements, turnaround time and special instructions — everything a user needs before sending a sample.

NPEX only
NPEX is the National Pathology Exchange — a system for electronic requesting between NHS labs. Filtering by NPEX shows only labs set up for electronic requesting.
The "Add to referral" button
Each result card has an Add to referral button. You can add multiple tests from different labs, then click Download Referral Sheet to get a spreadsheet with all the information in one place — useful for printing or attaching to a referral. This is covered in more detail in the Tools → Referral Builder guide.
My Lab
The My Lab section is where you manage everything about your lab on Labstronaut. Think of it as your lab's control panel. It has five areas: Mission Control, Messages, My Tests, Upload & Sync, and Notifications.
🚀 Mission Control
Mission Control is your dashboard — a summary of how your lab is performing on the platform. Here's what each number means:
Tests in your repertoire
The total number of tests your lab currently has listed on Labstronaut.
Unique tests only you offer
Tests where your lab is the only one on the platform offering them. These are your most valuable listings.
Referral downloads
How many times a user has downloaded a referral sheet that included one of your tests. This is the closest indicator to actual referral activity.
Platform searches
The total number of searches made on Labstronaut this month. Gives you a sense of how active the platform is.
💡 Tip: The activity newsfeed on the right-hand side shows recent platform events — new labs joining, tests being updated, and forum activity. It refreshes each time you log in.
✉ Messages
You can send and receive messages with other labs on the platform — useful for asking about unusual sample requirements or discussing shared patients. Messages are private between labs. You'll see a red badge on the Messages button when you have unread messages.
⚠ Important: Do not share patient-identifiable information through Labstronaut messages. Use your normal secure channels for anything patient-specific.

My Tests shows all the tests your lab currently has listed, organised by department. Click the department tabs at the top to switch between departments.

Last Updated — the colour matters
The Last Updated date shows when each test was last synced. It appears in green if updated within the last 12 months, and red if it's been more than a year. If you see red, it's worth reviewing that test to make sure the information is still correct.

Editing a test
Click the Edit button on any test to update its details individually. This is useful for quick fixes without having to re-upload your whole spreadsheet.

Searching your tests
Use the search bar at the top of the table to filter your tests by name. This is handy when you have a large repertoire.
↑ Upload & Sync
This is how you add or update your tests on Labstronaut. You upload a spreadsheet, and Labstronaut compares it against what you currently have listed and makes the necessary changes.

Download a template
Click ⬇ All my tests to download your current repertoire as a spreadsheet, or ⬇ Blank template if you're starting from scratch. The template has all the correct column headings already set up.

Fill in your spreadsheet
Add or update your tests in the spreadsheet. The most important column is Test Name. The Department column determines which tab the test appears under in My Tests — use one of: Biochemistry, Genetics, Haematology, Histopathology, Immunology, Metabolic, Microbiology, Toxicology, Virology, or Other.

Upload and sync
Drag your spreadsheet into the upload area or click to choose it. Labstronaut will show you a preview of what will be added, updated, or removed. Click Sync now to apply the changes.
✓ Added — new tests in your spreadsheet that aren't currently listed will be added.
✓ Updated — tests that already exist but have changed details will be updated.
✓ Removed — tests that are in your current listing but missing from the spreadsheet will be removed. Only remove a test if you genuinely no longer offer it.
🔔 Notifications
Set up who in your lab receives email notifications when someone sends you a message on Labstronaut, or when your tests are updated. You can add multiple email addresses — useful if more than one person manages the lab's Labstronaut account.

The Tools section contains features designed to help you get more out of Labstronaut — both for promoting your lab and for building referrals.
⚡ Boost
Boost lets you promote one test to the top of every search result on Labstronaut. When a user searches for that test, your lab's result will always appear first — regardless of location.

You can only boost one test at a time
Choose your boost wisely — pick the test you most want to increase external uptake of. This might be a specialist test that only you offer, or one where you have spare capacity.

Track how well it's working
The Boost section shows you how many users have viewed your boosted test card and included it in a referral download since you activated it. Compare this against your other tests to see the difference the boost is making.

Changing your boost
To boost a different test, click Remove boost on the current one first, then select a new test from the list below. The metrics reset when you change your boost.
📋 Referral Builder
The Referral Builder lets you search for tests across all labs and download a single spreadsheet containing the referral details for everything you need. It's designed for users building a referral pack, but your lab can use it too — for example, to check what information other labs are showing for tests you also offer.

By default, your own lab's tests are hidden in the Referral Builder — because you wouldn't normally refer to yourself. You can untick this to include your own tests if needed.

Select the tests you need using the tick boxes, then click Download Referral Sheet. You'll get an Excel file with all the sample requirements and referral addresses in one place.
How Tests Are Linked Together
One of the most important things Labstronaut does behind the scenes is make sure that the same test — even if different labs call it different things — is treated as the same test in the search results. This section explains how that works.
The problem: labs use different names for the same test
Lab A might call a test "HbA1c". Lab B calls it "Glycated Haemoglobin". Lab C calls it "Haemoglobin A1c". Without any linking, a user searching for "HbA1c" would only see Lab A's result — even though Labs B and C offer the same test.

The solution: synonyms
Labstronaut has a global test catalogue — a single master list of test names. Each test in the catalogue can have synonyms: alternative names, abbreviations, and acronyms that all point to the same test. When a user searches, Labstronaut checks the test name and all its synonyms.
When you upload your tests, Labstronaut tries to match each test name in your spreadsheet against the existing catalogue. It does this in several steps, from most precise to least:
Step 1
Exact match
If your test name exactly matches a name already in the catalogue (ignoring capitals and spaces), it's linked immediately. "aldosterone" matches "Aldosterone".
Step 2
Synonym match
If your test name matches a known synonym, it's linked to the master test. "Glycated Haemoglobin" links to "HbA1c".
Step 3
Fuzzy match
If there's no exact or synonym match, Labstronaut strips out punctuation and brackets and tries again. "Copper (Plasma)" might match "Copper Plasma". It also checks if one name contains the other — "FSH" would match "Follicle Stimulating Hormone (FSH)".
Step 4
New test created
If nothing matches, Labstronaut creates a new test in the catalogue with the name from your spreadsheet. This is then available for other labs to link to in future.
How to make the most of synonyms
The Synonyms column in your spreadsheet is one of the most powerful things you can fill in. The more synonyms you add, the more searches will find your test. For example, for Homocysteine you might add:
Total Homocysteine, tHcy, Homocysteine Total, Hcy
Separate synonyms with commas. Include abbreviations, full names, and any alternative spellings you know users use.
⚠ A note on similar test names
The fuzzy matching is designed to be helpful, but it's not perfect. If a test in your spreadsheet matches something it shouldn't — for example "Homocystine (Free)" being matched to "Homocysteine (Total)" — the sync log will tell you what happened with an ℹ message. If you spot an incorrect match, contact the Labstronaut admin and we can correct it manually.

Synonym Audit
These test pairs have similar names. Review each one — if they're the same test, linking them will improve search results for both. If they're different tests, dismiss them and they won't appear again.
